FOR GENERAL TRAVEL SERVICE RESERVATIONS (EXCL. ROVOS RAIL AND BLUE TRAIN TICKETS)

AGREEMENT
Please note that by arranging your travel services we act as agents between you and the principal service provider and we cannot be held liable for any agreements entered into between you and any of the service providers forming part of your itinerary.
PRICING
We believe that the information given and prices quoted are correct. However errors and omissions can occur and are herewith excluded. All our quotes are subject to change and availability at the time of final booking, and we reserve the right to increase prices in the case of increases in general and/or public tariffs, or in the case of unexpected price increases beyond our control, forced on us by service providers and hotels used for your itinerary.
CANCELLATION AND CHANGES
Cancellations and changes are only effective once we have your notification thereof in writing. If your cancellation or change of a reservation is received more than 8 weeks prior to the start of that service, your deposit is forfeited. If your cancellation or change of a reservation is received within 8 weeks of the commencement of the service booked, a cancellation fee as a percentage of the cost of the service will be charged according to the following cancellation notice schedule:
* More than 8 weeks’ notice: 20%
* Less than 8 weeks’ notice: 30%
* Less than 4 weeks’ notice: 50%
* Less than 3 weeks’ notice: 80%
* Less than 2 weeks’ notice: 100%
A minimum amount of R500.00 per person fee will be levied with every cancellation or change. If a third party service provider or hotel on your itinerary has stricter cancellation or change policies as set out herein, we will impose such stricter policy. Should you fail to join a safari or a tour, or join it after it has already departed, or leave it prior to its completion, no refund can be made for any unused services. We strongly recommend that you take out adequate trip cancellation insurance.
PAYMENTS
A 20% non-refundable deposit is payable on confirmation along with full pre-payment for any airline tickets. Full payment is due 8 weeks prior to departure or immediately if your confirmation is less than 8 weeks prior to departure. We prefer that payments are done by electronic bank transfer. You can also settle payments by credit card. We accept Master Card, Visa Card and American Express. A 2% surcharge is applicable to all credit card payments to cover a portion of the card commissions levied by the credit card companies. Certain travel services outside of South Africa have to be settled in US$. We reserve the right to invoice you in US$ for such services and will ask you for an electronic bank transfer into our US$ account. We are not able to charge your credit card in US$.
TOURISM LEVIES
In South Africa a 1% tourism levy is currently payable per bed night to the accommodation provider. Some providers include it in their quoted rates and others don't include the levy. Where the levy is not included in the rate you will be charged for it when check-out of your hotel. This levy is not refundable by RCJM.
AIRLINE TICKETS
Quotes including airline tickets are subject to change and availability until the airline has received payment for such tickets. Airline conditions differ from what is contained herein.
LUXURY TRAIN TRAVEL
RCJM also specialises in luxury train travel and offers ticket and package reservations for The Blue Train and Rovos Rail. Their Terms and Conditions are different from what is contained herein and have to be read separately.
TRAVEL INSURANCE
All clients should take out comprehensive travel insurance covering them for personal effects, personal accident, medical and emergency travel expenses, cancellation and curtailment. For more details please check with your medical aid and insurance advisor.
PASSPORT AND VISAS
Valid passports are required for all international destinations. It is recommended that you check requirements for each country that you will travel to for the latest passport and visa requirements. Passports must be valid for six (6) months after the return of your journey and should also have sufficient blank pages for visas and immigrations stamps. We cannot be held responsible should you be denied entry to a country due to non-compliance with these requirements. A copy of your valid passport must be submitted to us in order to confirm air reservations.
MALARIA & YELLOW FEVER
Please be advised to, where necessary, take precautions against malaria prior to the commencement of your holiday. We recommend you contact your pharmacist or health practitioner for advice as to if and which prophylactic is recommended for the region you are going to visit. Depending on the countries you are visiting in Southern Africa you may be required to be in a possession of a valid yellow fewer vaccination certificate.
PRIVATE AIR TRANSFERS
Baggage on private or scheduled air transfers is usually restricted to 12 kg per person in a soft bag, including camera equipment and carry-on baggage. Guests will be liable for extra costs for forwarding excess baggage.
SPECIAL REQUESTS
Specific requests such as adjacent or connecting rooms, bedding requests, smoking rooms and special dietary needs should be advised at time of booking. Please note that every effort will be made to secure a special request, however, it cannot be guaranteed in advance of travel.
DELAYS AND UNFORESEEN CIRCUMSTANCES
We cannot be held liable for any delays owing to airlines or service providers not running to schedule, etc. Nor can we be held liable for the additional costs incurred as a result of these delays. Any claims due to delays by third party service provider would have to be addressed directly to such provider. Accommodations including vessels and arranged sightseeing are subject to change at any time due to unforeseen circumstances or circumstances beyond our control. Every effort will be made to operate itineraries as planned, but alterations may occur after the final itinerary has been issued. We also reserves the right to withdraw a program or any part of it, to make such alterations to the itinerary or the program inclusions as it deems necessary or desirable, and to pass on to our clients any expenditures or losses caused by delays or events beyond its control.
LIMITS ON OUR RESPONSIBILITY
RCJM Travel & Tours CC, South Africa, its employees, shareholders, officers, directors, successors, agents and assigns (collectively RCJM), does not own or operate any entity which is to or does provide goods or services for your trip. It purchases transportation (by aircraft, coach, train, vessel or otherwise), hotel and other lodging accommodations, restaurant, ground handling and other services from various independent suppliers. All such persons and entities are independent contractors. As a result RCJM is not liable for any negligent or wilful act of any such person or entity or of any third person. In addition and without limitation, RCJM is not responsible for any injury, financial or physical loss, death, inconvenience, delay or damage to personal property in connection with the provision of any goods or services whether resulting from but not limited to acts of force majeure, illness, disease, acts of war, civil unrest, insurrection or revolt, animals, strikes or other labour activities, criminal or terrorist activities of any kind, overbooking or downgrading of services, food poisoning, mechanical or other failure of aircraft or other means of transportation or for failure of any transportation mechanism to arrive or depart on time. There are risks involved in travel (especially adventure travel), which can lead to illness, injury, or even death. Passenger assumes all such risks associated with participating in such travel arrangements.
ANY PAYMENT TO RCJM TRAVEL & TOURS CC CONSTITUTES YOUR ACCEPTANCE OF THE TERMS AND CONDITIONS SET OUT HEREIN.
